Archiving is the process of transferring mail from your online mail account
to your local machine. This is a good method for saving important messages without
them taking up space in your online account
There are two ways to archive: manually and automatically.
If you archive manually you pick and choose individual messages
to archive.
If you archive automatically all messages and calender entries older
than a certain date are automatically saved to your hard drive.
Manual archiving of mail
- Go to menu item "Actions > Archive > Settings" and click
the "Advanced" button.

- Ensure the "Manually from my workstation to" option is set to "Local."
- Click Ok.
- In the main mailbox window, manually select the messages you wish to archive, by placing a check mark next to
each individual message.
- Go to menu item "Actions > Archive > Selected Documents"
- When prompted by a window asking, "Do you wish to archive the # of
selected documents now?" click Yes.

- Whilst in your mailbox, double-click on the Archive button in the left side of the mail
window. This will open up a new window within Notes which mimics your mail
folder, but contains all archived mail.

Configuring archive settings
- Whilst in Lotus Notes, go to menu item "Actions > Archive > Settings".

- Set the number of days you wish your mail to remain on the Lotus Notes server before
being archived.
- Click on the Advanced button.
- Set "Manually from my machine" to "Local".

- Click OK.
Enabling automated archiving
- Choose menu item "File > Preferences > User Preferences".

- Ensure the box "Enable scheduled local agents" is checked.
- Click Ok.
- Choose menu item "Actions > Archive > Enable Local Scheduled
Archiving".
Retrieving archived documents
- This will open up a new window within Notes which mimics your mail
folder, but contains all archived mail.
Note: Remember to close the archived mail file after you finish retrieving
your archived messages in order to avoid mistakenly using it for sending out
email.
